Your figures, for your property

Frequently asked questions

Do I have to export my data to a spreadsheet to get my statistics?

No. Statistics are built into the software and you read them on screen. The spreadsheet export is there to pass a report on, not to build one.

Are the figures calculated in real time?

No. The dashboard runs on consolidated data and shows the date and time of its last update. Invoicing reports, on the other hand, cover the current day.

Can I compare with the previous year?

Yes. Comparison with the previous year is a setting on the dashboard and on the revenue report. The curves are drawn on the same chart.

Do the statistics replace my accounting?

No. They are operating reports. You send them to your accountant, who still keeps the books and files the returns.

Are taxes broken down in the reports?

Yes. The revenue report breaks down the taxes that apply to your property, line by line, and shows the amount before tax as well as the amount including tax. Taxes vary from one province to another, and the lodging tax appears on accommodation lines only.

Can I see occupancy for the coming days?

Yes. The activity forecast shows arrivals, departures, stayover rooms and the occupancy rate, day by day. It projects what is already booked; it does not predict demand.

Are bookings from distribution platforms counted?

Yes, as long as they come in through the channel manager. A booking entered outside the software does not appear in any report.

Are statistics and reports included in the subscription?

Yes. They are one of the ten modules of the Reservit suite, all included in the subscription, and the software takes no commission on your bookings. See Pricing.

Which indicators does the dashboard show?

Accommodation revenue, options and services revenue, total booking revenue, occupancy rate, average room rate, average basket, RevPAR (revenue per available unit, that is, the average rate multiplied by the occupancy rate), average length of stay, booking window, room nights, rooms sold, cancellations and channel statistics. Each one comes with its trend against the previous year, and every tile opens onto its details.

Which date is revenue counted on?

Your choice, without changing screens: the stay date tells you what the period produced, the booking date what was sold during the period, future stays included, and the invoice date what was invoiced.

Can I filter the reports?

Yes. By room, by channel or by offer, over any date range; views can also be filtered by unit type or by source. A report you check every week can be saved as a favourite and opened in one click.

How do I send a report to my accountant?

As a PDF or a spreadsheet (Excel format, with a detailed export for the revenue report), over the period you want: your accountant picks up the columns without retyping them. Accounting entries come out of the invoicing tools with your codes, ready to import into Acomba, Sage 50 or QuickBooks.

How is this different from the Revenue Management System?

Statistics report what happened: their forecasts project what is already booked. The Revenue Management System recommends a rate, date by date, based on your competitors’ public rates, your occupancy to date, seasonality and your online reviews. You keep the final say.

I have several properties: can the figures be combined?

Yes, with the Multi-property solution, included with no extra fees: reports cover the whole group or a single site, can be grouped by region, by type of accommodation or by price range, and access to consolidated reports is set profile by profile.

Do I have access to all my data?

Yes. If a report doesn’t suit you, everything can be exported: the summary table of each tile, invoicing reports, forecasts, or the Extracts menu. Your data belongs to you, and nothing is locked by the system.

Can I check my statistics on my phone?

Yes, in the browser: every Reservit page adapts to phone and tablet screens. For large tables, a computer is still the most comfortable screen.

Can I give an employee or my accountant access to the reports?

Yes. Access rights are set per user: you choose which pages and reports each person can see, and hide the ones you don’t want to show. An accountant’s access can be limited to financial reports, so they can export them to their accounting software.

Statistics and reports: full fact sheet

What it is Statistics and reports

The statistics and operating reports module of the Reservit software, for hotels, motels, inns, B&Bs, campgrounds, chalets and cabins, and outfitters. Figures are calculated from the bookings, invoices and payments already recorded in the property management system (PMS): no extra data entry, no spreadsheet to keep on the side. It is one of the ten modules included in the subscription, with no software commission on bookings. Canadian team in Montreal.

Who it’s for Tourism accommodation in Canada

Hotels, motels, inns, B&Bs, campgrounds, chalets and cabins, and outfitters, across Canada. The owner tracks occupancy and revenue, the front desk plans the days ahead, the accountant receives the reports. Onboarding with the Montreal team.

The dashboard Thirteen tiles

  • Accommodation revenue, options and services revenue, total booking revenue: amount, curve and trend against the previous year.
  • Occupancy rate (rooms sold and available), average room rate (average rate collected on accommodation, options excluded), average basket (accommodation and services together), RevPAR (average rate multiplied by the occupancy rate).
  • Average length of stay, booking window (average lead time between booking and arrival), room nights, rooms sold, cancellations.
  • Channel statistics: bookings, revenue and cancellation rate for each channel.

Last 30 days or next 30 days, or dates of your choice; filters by room, channel and offer; date and time of the last update shown. Every tile opens onto a detailed view: curve over the period, five best-performing options or services, day-by-day summary table, save as Excel. Daily accommodation revenue counts confirmed or completed stays, options excluded; the average basket includes them.

Three ways to read revenue Stay, booking, invoice

  • By stay date: what the period actually produced, the owner’s view.
  • By booking date: what was sold during the period, future stays included, the sales view.
  • By invoice date: what was invoiced over the period, the accounting view.

Distribution Where bookings come from

  • By channel: direct website, platforms connected to the channel manager (platform by platform), phone, front desk.
  • By service: accommodation, breakfasts, activities, spa, parking.
  • Cancellation rate by channel, next to revenue.
  • Current year’s curve overlaid on those of the two previous years.

Activity forecast The coming days

Arrivals and departures on the dates you choose, stayover rooms (which drive housekeeping), closed, blocked or optioned units, occupied and available units, occupancy rate day by day. The forecast projects what is already booked; it does not predict demand.

Invoicing Six reports

  • Daily ledger: by booking, the day’s revenue, payments, refunds, outstanding amounts, discounts and balance left to pay.
  • Payment tracking: every payment, filterable by date and by payment method (Interac, cash, cheque, direct deposit…), payment terminal history.
  • Accounts receivable tracking: services invoiced and not yet paid; invoices can be exported.
  • Unbilled daily services tracking (outstanding): unpaid, uninvoiced amounts for in-house guests and past bookings.
  • Revenue report by stay date or invoice date, by service, with the lodging tax and your province’s sales taxes (GST, HST, QST or PST depending on the province: in particular GST and QST in Quebec, HST in New Brunswick, Ontario and the other Atlantic provinces, GST alone in Alberta), discounts, amounts before tax and including tax, compared with the previous year; Excel export and detailed export.
  • Figures summary: key indicators, revenue by service category and by room type, payments and debits.

Reports Forecast and daily revenue

  • Activity forecast: arrivals, departures, stayover rooms, closed or out-of-service, optioned, occupied and available rooms, occupancy rate, day by day on the dates you choose, to plan housekeeping work in particular; PDF and Excel export.
  • Daily accommodation revenue: revenue in detail, day by day, over a full year.

Your data Everything can be exported

The property has access to all its data: if a report doesn’t suit you, everything can be exported, and nothing is locked by the system. Statistics menu: Dashboard, Invoicing, Extracts, Reports, with your favourites. Statistics can be viewed in the browser, on a computer, tablet or phone. Access rights per user: pages and reports visible as you choose (such as accountant access limited to financial reports). Export as a PDF or as an Excel spreadsheet, printing, any date range, filters by room, channel or offer, refresh on demand. Accounting entries come out of the invoicing tools with your codes, ready to import into Acomba, Sage 50 or QuickBooks.

Limits What statistics don’t do

  • They report, they don’t decide: acting on rates is the job of the Revenue Management System.
  • They don’t keep the books: they are operating reports, sent to your accountant.
  • A booking taken outside the software is not included in any report.

Several properties Consolidated reports

With the Multi-property solution, included with no extra fees: reports for the whole group or a single site, with no retyping, grouped by region, by type of accommodation or by price range; access to consolidated reports set profile by profile.

Key figures At a glance

  • Reservit equips more than 35,000 properties, including more than 1,000 in Quebec.
  • Reservit was founded in 1999.

Subscription and pricing How the price is set

  • Included: the ten modules of the suite, more than 50 integrations with no usage fees, updates, onboarding, training and support from a team based in Canada, by phone or by email.
