Before and after the stay

Emails included, made personal by the guest record

Before and after the stay, emails go out on their own, matched to the rate and the unit booked: that is included with Reservit. The CRM adds what you know about the guest.

One guest, several emails: promotion, package, birthday, newsletter.
  • What they like

Their preferences and past stays, carried into your emails.

  • Who they are

New, occasional or regular: each their own message.

  • When to come back

A return offer for the same dates next year.

Going further: pre-arrivalArrival time, purpose of the stay, preferences: added to the record. Going further: guest messagingSMS, email or WhatsApp, throughout the stay.

Smart campaigns

The email fires on its own, the rule stays yours

Three triggers lead to one automated email: birthday, number of stays, amount spent.

  • Number of stays
  • Amount spent

  • One-off or recurring

  • Variable content

  • Reversible

Frequently asked questions

What people ask before getting started

Do I need the guest’s consent before emailing them?

Yes. In Canada, anti-spam law governs every commercial electronic message: consent from the recipient, identification of the sender and an unsubscribe mechanism. All three are configured when you go live, with the Montreal team.

Is profiling guests allowed?

Yes, provided the person is told. Under Law 25, a guest must know that their information is used to tailor what they are offered, and be able to object. That notice belongs in your privacy policy and in your emails.

Is my data protected, and my guests’ data too?

Yes. Reservit complies with Law 25 in Quebec and PIPEDA elsewhere in Canada.

Is the CRM a separate piece of software?

No. It is a Reservit module, built on Qualitelis technology integrated into Reservit. It reads the same bookings and the same records as the planning board, with no gateway to install and no file to move between tools.

Where does the data in a guest record come from?

From four sources: the management software, bookings taken on your website, questionnaires filled in by your guests, and files you import. Bookings, stays and amounts feed the record with no manual entry; the newsletter sign-up form on your website drops the contact into the same database.

Can I bring over the contact lists I keep elsewhere?

Yes. Lists kept elsewhere are imported as a file instead of living beside the system.

Which emails go out before the stay?

These emails are included with Reservit, with no add-on module. A welcome email matched to the rate booked and the unit assigned: the unit’s equipment, how to get in and what to bring. Romantic getaway, spa package or business stay: each rate has its own services to restate, its own opening hours and its own inclusions. The information is spread over time: the confirmation, then the arrival instructions, then the activity suggestions.

And after checkout?

A thank-you goes out at checkout, naming the unit and the length of the stay. The review request follows, while the memory is still fresh. Later, a return offer for the same dates next year, kept for past guests.

What is a smart campaign?

A rule you describe: birthday, number of stays, amount spent. The CRM watches the guest record and sends the email when the condition is met. The send-out can be one-off (a long weekend) or recurring, all year; first name, unit or tier reached change from one guest to the next. A rule can be switched off without erasing what it has already produced.

How does the loyalty program work?

Tiers are set on the number of stays, the amount spent, or both together. You name each tier and decide what it gives; an email tells the guest the tier reached and the benefit that comes with it. A benefit that can only be earned by booking direct is an argument no booking platform can copy.

Do I need to write code to build a newsletter?

No. The editor assembles blocks (text, image, button, divider) and shows the result before anything goes out. Your header, your colours and your legal footer are saved once in a template; lists are built from the records: past guests, guests on a package, guests from a region.

Does the CRM also send SMS or WhatsApp messages?

Conversations throughout the stay, by SMS, email or WhatsApp, with an AI assistant that answers at any hour, belong to guest messaging, powered by our partner LOXE.

How does it work with pre-arrival and guest reviews?

The pre-arrival questionnaire collects the expected arrival time, the purpose of the stay and preferences: the answers complete the guest record and carry over into later emails. The Guest reviews module gathers the answers to the review request, lets you reply from a single screen and feeds the pages that display your reviews.

Is the module included in my subscription?

The CRM is a Reservit add-on module. The software takes no commission on your bookings.

Full fact sheet: guest records and emails

The module in brief Guest records and emails

Reservit is management software for tourist accommodation, founded in 1999, with a Canadian team based in Montreal. The CRM module (guest records and emails) brings guest records, newsletters, segmentation, a loyalty program and profile-triggered emails into the software that already runs your bookings. It is built on Qualitelis technology, integrated into Reservit, and works with the Pre-arrival, Guest reviews and Online reputation modules.

The problem it solves Known guests, generic emails

  • Addresses are scattered: in bookings, in a spreadsheet, in a separate newsletter tool.
  • The same email goes to everyone, whatever rate was booked.
  • The review request and the return offer depend on someone remembering them.

Before the stay Preparing the arrival, emails included with Reservit

  • Welcome email matched to the rate booked and the unit assigned: equipment, access, what to bring.
  • A message for each rate (romantic getaway, spa package, business stay): services, opening hours, inclusions.
  • Information spread over time: confirmation, arrival instructions, activity suggestions.
  • Pre-arrival questionnaire (Pre-arrival module): arrival time, purpose of the stay, preferences, added to the record.

After the stay Thank, ask for a review, bring them back

  • Thank-you at checkout, naming the unit and the length of the stay (included with Reservit).
  • Review request right after, while the memory is fresh (Guest reviews module).
  • Return offer for the same dates next year, kept for past guests.

Smart campaigns The email fires on its own

  • Triggers: birthday, number of stays, amount spent.
  • One-off send-out or recurring rule.
  • Variable content: first name, unit, tier reached.
  • Reversible rule: switched off without erasing what it produced.

Loyalty program Rewarding the return

  • Criteria: number of stays, amount spent, or both.
  • Tiers named by the property, each with its own benefit.
  • Automatic email to the guest when a tier is reached.
  • Guest segments (new, occasional, regular) and campaign criteria (loyalty level, preferred language, number of stays per year).

Newsletters Building without code

  • Block editor: text, image, button, divider, with a preview before sending.
  • Saved templates: header, colours, legal footer.
  • Lists built from the records: past guests, guests on a package, guests from a region.

Unified data One record, four sources

  • Management software: bookings, stays and amounts, with no manual entry.
  • Website: bookings and the newsletter sign-up form.
  • Questionnaires filled in by guests.
  • File import to bring over lists kept elsewhere.

Consent and privacy What Canadian law says

  • Canada’s anti-spam law: consent from the recipient, identification of the sender, unsubscribe; configured when you go live.
  • Law 25: the guest is told that their information is used to tailor what they are offered, and can object.
  • Reservit complies with Law 25 in Quebec and PIPEDA elsewhere in Canada.

Subscription and pricing How the price is set
